For adult colleges · Learners aged 18+

The details that keep your college day running.

Explore the tools available for your learners, staff and classrooms, and see what is planned next.

01

Adult learner records, courses and enrolments

Keep profiles, contact information and study dates together for learners aged 18 and over. Create courses and teaching groups, set group dates and capacity, assign a tutor and enrol a learner on more than one course.

Retain completion, withdrawal and cancellation history. These course records are separate from daily register categories.

02

Student registers & attendance

Take the daily register and record present, absent, late or authorised absence, with recorded arrival times. Review attendance records and export reports to support follow-up.

Staff enter attendance. Missing records are not automatically treated as absence. The current register records daily attendance; it is separate from scheduled lessons and does not mark attendance for each lesson.

03

Classroom timetables you can print

Plan one-off lessons or weekly patterns. See the tutor, classroom, course, teaching group and session times in a day or week grid. Filter the view and use Print timetable, or save as a PDF through your browser.

Booking checks help prevent room, tutor and group clashes. Recorded tutor absence is flagged so staff can arrange cover. The system does not automatically assign cover or mark a learner present.

04

Staff attendance and working patterns

Keep staff profiles, configured working patterns, clocking sessions and absence records together. Review working days and attendance history, with corrections and reports available to authorised staff.

Role-based access controls what staff can view and change within their own organisation.

05

Staff leave requests and approvals

Set whole-day allowances for a leave year. Staff with a linked account can request future leave; administrators review requests, check balances and approve or reject them. Approved holiday is recorded against the staff member.

The first release covers whole configured working days. Allowances are entered by the administrator. It does not calculate statutory entitlement, carry-over, bank holidays, half-days or hourly leave. A linked administrator’s own request needs another administrator’s approval.

06

Separately approved referrer access

Invite approved referrers to sign in and view only the attendance your college has checked and published for explicitly linked learners. Access can be withdrawn when no longer needed.

Adding a contact does not grant portal access. When automated email sending is enabled, choose a weekly notification day and time and select eligible recipients. Notification emails contain a sign-in link, not attendance details.

07

Concerns, medical information and incidents

Record private concerns through designated lead accounts. Keep medical alerts and incident records alongside learner profiles for authorised staff to review.

External attendance access does not expose medical information, private concerns or internal notes.

08

Documents, communications and reporting

Organise college and learner documents, retain communication records and review attendance and other records through filtered reports and exports.

Only the records permitted by the user’s role and organisation are available to that user.

Staff clocking on your phone

Your college day. In your pocket.

Staff can open Hopestrand in their phone’s browser and clock in or out. At each clocking event, the system checks the supplied location and accuracy against the configured workplace area.

Mobile clocking records a clocking event; it does not continuously track a staff member’s location.

Planned: learner attendance self-service

A learner portal for students to view their own college-published attendance is not yet available. The current external attendance portal is for separately approved referrers. The learner screen shown here is a design concept.
